How switching works, step by step

The whole process is more of a formality than a project. Here's the full sequence:

  • Choose your new accountant first: never resign from your current firm until the next one is lined up. Get the fit right before anything else.
  • Sign up and give your details: your new firm runs standard anti-money-laundering identity checks and sends a letter of engagement setting out scope and price.
  • They request professional clearance: your new accountant writes to your old one, a routine letter asking whether there's any reason they shouldn't act and requesting your records. You don't make that call yourself.
  • Your records are handed over: previous accounts and tax returns, trial balance, payroll and VAT records, tax references. Reputable firms do this promptly and free.
  • You authorise them with HMRC: usually via a code HMRC posts to you, or their agent services account. From there, your new firm takes over.
